Complaints Policy

At Helen Hunt Medical Aesthetics Ltd, we are committed to providing safe, professional and high-quality care to all patients.

We value feedback and take any concerns seriously. If something has not met your expectations, we want to hear from you so that we can investigate fairly, resolve concerns where possible and continue to improve our services.

How to raise a concern or complaint

If you are unhappy with any aspect of your care or experience, please contact us as soon as possible.

Where possible, we encourage concerns to be raised promptly so that we can resolve matters quickly and effectively.

What happens next?

Step 1 – Informal Resolution

In many cases, concerns can be resolved quickly by speaking with a member of the clinic team or your practitioner.

We will always try to resolve concerns promptly, professionally and compassionately.

Step 2 – Formal Complaint

If your concern cannot be resolved informally, it will be treated as a formal complaint.

Your complaint will be acknowledged within 3 working days of receipt.

A full investigation will then be carried out by the clinic Director or an appropriate senior member of the team.

Where required, this may include:

  • Reviewing clinical notes and consent forms
  • Discussing the matter with team members involved
  • Inviting you to attend a review appointment where clinically appropriate
  • Seeking clinical advice where necessary

We aim to provide a full written response within 20 working days, although more complex cases may take longer. If this happens, we will keep you updated.

Corrective treatment and reviews

In some circumstances, a review appointment may be recommended to assess treatment outcomes and discuss options moving forward.

Please note that dissatisfaction with aesthetic outcomes does not automatically entitle patients to refunds, as treatment outcomes can vary between individuals.

Social media and public platforms

To ensure concerns are investigated fairly, we kindly ask that complaints are raised directly with the clinic.

Our social media channels are not monitored for formal complaints.

If you have concerns, please contact us — we are here to help. We always aim to resolve concerns directly and encourage patients to contact us in the first instance.

If you remain dissatisfied, you may wish to seek independent advice or contact an appropriate external organisation depending on the nature of your concern. For example, concerns relating to professional conduct may be raised with the relevant healthcare regulator, and concerns about service quality may be shared with the Care Quality Commission (CQC).

Please note that the CQC does not investigate or resolve individual complaints but uses feedback to help monitor healthcare providers.
